Choose food the aircraft can store and serve

Build the menu around the actual aircraft’s galley and service arrangements. The useful details are chilled storage, reheating equipment, container compatibility, serving space and who will serve the meal. Choose ready-to-serve cold dishes when reheating is unavailable, with appropriate chilled storage for foods that require it. Hot dishes suit an aircraft whose storage, reheating equipment and service arrangements support the planned meal. Individually packed portions suit a working lunch; shared dishes suit passengers who have table space and someone available to serve.

Plan food for a return sector separately, taking account of its shelf life and storage throughout the intervening stop. A meal suitable for immediate departure may need a different arrangement if it will remain onboard until later.

These recommendations apply considerations in the Food Standards Agency’s aircraft guidance, including storage, time before serving, preparation facilities and return-flight meals.

Coordinate delivery with the aircraft’s ground operation

The supplier needs a workable handover appointment, while the crew needs food ready for the intended service. Keep the delivery time distinct from the aircraft’s departure time and passenger arrival instructions. Let the crew or handler establish aircraft access and the receiving person’s location.

If departure moves after delivery has been arranged, give the caterer and crew the revised service time as well as the revised departure. They can then reassess preparation, storage and handover against the changed itinerary.

What determines the catering price?

The catering specification should make the total understandable. Dish selection, ingredients, portions, beverages, preparation and presentation define the order. A boxed lunch and a plated meal require different packaging and service equipment; neither description alone tells you what the supplier has included.

Read the offer against the meal occasion. Snacks and drinks for the departure are a different specification from a meal followed by refreshments later in the flight. Separate passenger meals, crew meals and additional provisions so quantities remain clear.

Delivery, equipment collection, handling coordination, taxes and deposits should be identified wherever they apply. Treat these as quote components to resolve with the supplier, rather than assumed EPRZ charges.
