Choose a menu the aircraft can serve

Choose individually portioned cold meals when eating should require little preparation. Choose hot food when the assigned aircraft has suitable heating equipment and compatible containers. A plated menu suits a flight with the space, equipment and cabin service to assemble it.

Aircraft type alone is an incomplete catering brief: the actual galley configuration, storage space and available service matter. For food intended for a later flight, give the operator the planned eating time. The Airline Catering Association’s return-catering guidance makes menu suitability dependent on storage conditions and time until consumption. What determines the catering price in Tromsø?

For a Flyius charter enquiry, the catering price comes through the operator’s written quote. For a catering-only purchase, SSP’s offer sets the price for the requested order.

The useful distinction is between what you eat and what it takes to supply it:

• Food and beverages: menu complexity, ingredients, named drinks and meal quantities, including crew meals.
• Preparation: special sourcing, dietary preparation and any requested certification.
• Presentation: individual packs, shared platters, crockery, glassware and serving equipment.
• Logistics: delivery timing, airport handover, collection of reusable equipment and short-notice work where applicable.

These are recognised aviation catering cost drivers, rather than a statement of SSP’s charging policy.

For a simpler service, individually packed meals reduce the preparation and equipment you need to specify. For a hosted dining experience, make presentation and service equipment explicit so the offer covers the intended experience. Make the handover usable for the crew

At receipt, reconcile the packages against the order: meal quantities, drinks, serving items and any equipment to return. Keep each dietary meal identifiable and pass storage and reheating instructions to the crew.

The Norwegian Food Safety Authority requires written allergen information at catering delivery, even when that information was supplied during ordering. Keep it accessible with the relevant meals throughout handover and service. Norwegian catering requirements.

A delivery to the handler still needs an assigned recipient for onward loading. Record who takes responsibility at that point so food does not arrive without someone expecting it.

Handle changes without losing the original order

For a revised departure, aircraft or passenger list, send the existing order reference and only the changed details. An aircraft substitution deserves particular attention: a menu designed for the original galley may need different packaging or preparation.

Use the agreed amendment and cancellation terms to establish any charges. For a delayed flight, the supplier and operator should decide whether the food can remain in suitable storage, needs a revised delivery or must be replaced.
