Sending the form does not confirm your order. Under article 1 of the supplier’s terms, confirmation requires a written message from Inflight Chef Delight. A submitted request, a quote and a confirmed order are distinct stages.

Build a brief the kitchen and crew can use

Keep operational details together with the meal selection:

• Flight: delivery date, delivery time and scheduled departure, each with its time zone.
• Aircraft: type, registration and operating company.
• Handover: appointed handler, receiving location and crew contact.
• Food and drinks: named dishes, portions and beverages, with passenger and crew meals listed separately.
• Service plan: meals for boarding, inflight dining or a later sector; individual trays or plated service.
• Equipment: galley specifications, packaging and serving items needed.
• Administration: purchasing party, billing details and a shared order reference.

Keep revisions under that reference and mark the latest version clearly. This gives the kitchen and receiving crew a usable order without reconstructing instructions from separate messages.

What determines the catering price?

The catering price comes in the supplier’s written quote. The practical cost drivers are:

• Menu and quantities: dishes, portions, drinks and crew catering.
• Preparation and sourcing: bespoke recipes, specified brands and separately prepared meals.
• Packaging and equipment: trays, platters, compatible containers, crockery and utensils.
• Logistics: delivery, loading, restaurant collection and additional shopping.

The supplier’s pricing and delivery terms exclude VAT from quotes, vary delivery/loading charges by airport and delivery hour, and charge courier services separately. Establish their application to your Zanzibar order in the quotation, including the currency, tax and final total.

For catering within a charter booking, the operator’s proposal should distinguish the included menu or allowance from separately charged extras. This makes a menu upgrade or additional provisioning an identifiable purchase.

Choose meals that fit the aircraft

The supplier’s Zanzibar form requests onboard heating-equipment information. Let the crew provide the specification before containers are selected.

Choose cold, ready-to-serve meals when suitable reheating equipment is unavailable. Hot meals suit an aircraft whose galley supports the containers and preparation method. Plated dining suits a flight with the workspace, equipment and crew service to finish each dish; individual trays suit simpler service.

Make dietary instructions meal-specific

Keep allergies distinct from preferences. Name the ingredient concerned and identify the recipient’s meal using a label the crew can recognise.

The UK Food Standards Agency recommends written allergen information before ordering and at delivery. This is a useful communication reference, rather than a statement of Tanzanian law.

For an allergy-sensitive meal, ingredient and cross-contact information should accompany any proposed substitution. For halal or kosher requirements, describe the preparation and certification expected. Keep the accepted specification with the meal labels so a replacement dish does not silently change the dietary arrangements.

Plan delivery and the aircraft handover

The supplier advertises refrigerated vehicles and high-loader services at HTZA. Select the loading method with the appointed handler and crew for the actual aircraft.

At receipt, reconcile meals, drinks and equipment against the packing list. Record missing items or substitutions before the delivery team leaves, and retain the food labels for onboard service.
